SPORTS SHEAR AUSTRALIA ASSOCIATION INC.  -  (SSAA) National Protocols

Host Committee Team Team Responsibility Event Draw

THESE PROTOCOLS ADDRESS:
a) The National Committee, the Host Committee, Sponsors, Teams, Judging, and Competitors
b) Promotion and Media

SSAA EXECUTIVE WILL HAVE THE FINAL SAY WITH REGARD TO:
1.  The hosting and running of the National events
2.  Determine date and venue of National Championships. The Nationals will be staged in the last 
     quarter of the calendar year (Application to vary may be made to the SSAA National Committee)
3.  Selection for World Championship Teams
       -  Selection of National championship venue should take into account the ability of the
          Host  Committee to secure sheep that are of similar type to those that will be
          shorn/handled in the World Championships and practice for visiting competitors on similar sheep.
4.  Selection in other years
       -  To be selected on proportional representation of national flock i.e. majority merino
       -  Woolhandling - To be 1 breed/type only.
5.  Determining events to be run.
      a)  National shearing semi-finals. 2 heats of 6 shearers. Each heat has one shearer from each state.
      b)  National shearing final. Top 6 shearers from semi-finals.
      c)  National woolhandling semi-finals. Same principle as shearing.
      d)  National woolhandling final. Top 6 woolhandlers from semi-finals.
      e)  National blade/hand shearing - OPTIONAL.
      f)   International Shearing Test - Supershear Trans Tasman. 3 Australian shearers, 3 NZ shearers.
      g)  International Woolhandling Test - Trans Tasman. 2 Australian Woolhandlers, 2 NZ Woolhandlers.
      h)  Inter State competition - combined shearing and woolhandling Teams - OPTIONAL
      i)   Quick Shear Competition - OPTIONAL
6.  Determining number and type of sheep/fleeces for each event.
      a)  National Machine Shearing - Two semi-finals to be held, 20 sheep if crossbreds and 15 sheep if
           merinos (per Competitor). Same sheep numbers for both semi-finals and finals.
           (See Machine Shearing Protocol 5 & Host Committee Protocol 8)
      b)  National Woolhandling - Strong wool - 6 fleeces. Merinos - 6 fleeces (per Competitor).
           Same fleece numbers for both semi-finals and final.
      c)  National Blade/Hand Shearing -
      d)  Supershear Trans Tasman Shearing Test - 8 merino sheep and 8 crossbred type sheep
           per competitor.
      e) Trans Tasman Woolhandling Test - 
7.  Liaising with Host Committee as to sheep requirements.
8.  Determining sponsors and their requirements. Negotiate sponsorship with a National Sponsor
9.  Inviting the International Teams (shearing and woolhandling), Judges (shearing and woolhandling),
     and Manager.
10.  Determining NZ Team travel arrangements and requirements.
11.  Ensuring visiting international teams supply their own singlets and polo shirts.
12. Inviting the return Australian Shearing (3) and Woolhandling (2) Teams and Manager.
13. Determining Australian Teams travel arrangements and requirements.
14. Invitation to States to nominate 1 shearing Judge and 1 woolhandling Judge to officiate at National
     Championships.
15.  Ensuring States inform Host Committee of Team representatives with a copy of members profiles
      for program
16. Ensuring the Host Committee select the above Judges and Disputes Committee for its own events.
17. Ensuring the drawing up of Rosters for National and International events are done by National
     Committee.
18. Liaising with Host Committee as to Judges, competitors, officials, sponsors' requirements.
19. Nominating Chief Shearing and Woolhandling Judges for National and International events, and will
     appoint Disputes Committee for same. 
20. Ensuring National Trophies are available at Nationals for presentations.
     Trophies are;
            - National Shearing Champion Shield (Euroa Shearing Association - Walker, Hanrahan,
              Artridge Shield)
            - Trans Tasman Cup (Walker, Keats cup)
            - Trans Tasman Woolhandling Plaque
21. Appointing Official Photographer.
22. Ensuring Media Coverage (World Championships)
            - Someone reliable to contact 'Australia All Over' with reports.
              (May need to write or contact prior to event).
            - Information kit for media including such things as team profiles, photos
              (for local press - could be sent over prior to arrival)
            - Ongoing media reports to come back to Australia
            - Inform Australian ambassador that Australian team has arrived
            - Define official World Championship events
23. SSAA reserves the right to withdraw or reprimand a Team Member, Manager, or Judge if deemed to
     be appropriate course of action.
24. Acquiring permission to use Australian coat-of-arms - liaise with Bernie Walker.
25. Organising  National shearing finalists singlets - liaise with Bernie Walker.
26. Organising  National woolhandling finalists polo shirts.
27. Liaising with Euroa Shearing Association re World Council Meeting.

HOST COMMITTEE RESPONSIBILITIES:
The Host Committee will - Top of Page
1.  Apply to its SSAA State body seeking approval and support to apply to the SSAA National body
    to host the National Championships. (see constitution clause 36)
2. Agree in writing to the National Committee to conduct the National shearing, woolhandling, and
    blade/hand Championships as approved by the National Committee according to the SSAA Rules 
    and the Protocols set down for hosting SSAA Nationals.
3. Provide venue and facilities to run National and International events. 6 stands and at least 3
    Woolhandling competition tables required.
4. Guarantee non-conflicting sponsorship as may be required by Sponsors of National events, or
    Sponsors of Teams selected at National events.
5. Ensure requirements of Sponsors of National and International events are met.
6. Promote SSAA National Championships and their Sponsors on all media releases pre and post
     competition.
7.  Invite local media to be present at the Championships
8.  Provide and prepare sheep (type and numbers) for the Nationals as required by the SSAA National
    Committee, with consideration for the Australian Teams competing in NZ and at the World
    Championships. (see SSAA Executive Protocol 6 & Machine Shearing Protocol 5)
9.  Arrange shearers for National Woolhandling semi-finals and finals, and Trans Tasman Woolhandling
     Test in conjunction with National Chief Woolhandling Judge. 
10. Arrange sufficient stewards, pen handlers, wool personnel, timekeepers, and other staff as required 
     to properly run the events.
11. Ensure Public Liability Insurance is in force.
12. Provide sharpening equipment for competitors, unless forbidden by Regulation or Law.
      (see Shearing  Rule 2i)
13. Provide changing rooms and washing facilities.
14. Provide a First Aid Kit, and needle, thread and antiseptic. (see Shearing Rule 15a)
15. Arrange and pay for accommodation for -
            - All invited judges and officials
            - Trans Tasman teams competitors and Manager only
            - Return Australian Test Teams
            - (It is not expected that accommodation costs be covered for spouses, partners, children etc.)
16. Arrange and pay for entry fees, meal tickets etc. during events, for judges and officials.
17. If required, arrange and pay for entry fees and local transport as agreed for NZ Team (3 shearers
      and 2 woolhandlers) and Manager. Check as to any additional requirements.
18. Provide judges/officials with a kit including all the information they need to know e.g. official 
     functions, judging timetable, accommodation details etc.
19. Provide prizes and sashes for all National competitors.
            - Sashes and/or medals for Trans Tasman Tests
            - Best individual score award (optional)
20. Supply a list of all National event results to the National Committee, together with the original score
      sheets.
21. Supply copy of Master Score Sheets to all National finalists if requested. (see Shearing Rule 2v) 
22. Arrange a suitable venue for the SSAA Annual General Meeting.

MACHINE SHEARING:
Competitors understand and agree:
1. To abide by the rules and protocols of SSAA (see Shearing Rule 2a)
2. National events shall be open class only.
3. Two Competitors from each State, the States to be approved by the National Committee
4. One competitor from each State to compete in each semi-final
5. The six highest placed from the semi-finals to shear off in the final, over the same
     amount of sheep as in semi finals.
6. All finalists to even pens prior to stand draw, no reject sheep after stand draw
7. To provide handpieces, combs and cutters of their choice
8. More than two handpieces can be used for different sheep breeds or wool types e.g. broad, fine
    (see Shearing Rule 2j)

JUDGING: Top of Page
1. States to nominate judges to the National Committee, who will select the board and pen judges for 
    the semi-final and final. e.g. experienced visiting judges in the pen
2. The Referee to be a visiting Judge (not from the Host State/Committee) approved by the National
    Committee
3. Hand held counters to be used by board Judges
4. Single judging to be used in the pens. (see Shearing Rule 8 (a) and (b))

NATIONAL MACHINE SHEARING TEAM MEMBERS:
1. The National Shearing Champion and runner-up will be the Australian Shearing Team to the World
    Championships
2. The National Shearing Champion, and runner-up and the third place getter will be the Australian
    Shearing Team to compete in the following Trans-Tasman Test in NZ, and the return Test at the
    following Nationals.
3. The next in line will follow the placings at the Nationals. (see Shearing Rule 14d)

NATIONAL WOOLHANDLING TEAM MEMBERS:
1. The National Woolhandling Champion and runner-up will be the Australian Woolhandling Team to the 
    World Championships 
2. The National Woolhandling Champion, and the runner-up will be the Australian Woolhandling
    Team to compete in the following Trans-Tasman Test in NZ, and the return Test at the following
    Nationals
3. The next in line will follow the placings at the Nationals. (see Shearing Rule 14d)

NATIONAL BLADE SHEARING TEAM MEMBERS: - (When conducted)
1. The National Blade Shearing Champion and runner-up will be the Australian Blade Shearing Team to 
    the World Championships 
2. The next in line will follow the placings at the Nationals. (see Shearing Rule 14d)

GENERAL:

Draw for National Shearing Semi-finals and Final 
      a)  State Team Manager or nominated representative (not a Team Member) draw for Stand for first
           semi-final (1 from each State in each semi) after sheep are penned.
      b)  State Team Manager or nominated representative to nominate shearer to shear in first
           semi-final.  
      c)  State Team Manager or nominated representative redraw stand for second semi-final
           after sheep are penned.
National Final - Shearers draw stand after sheep are penned.

Draw for National Woolhandling Semi-finals and Final
      a)  State Team Manager or nominated representative (not a Team Member) draw for Stands for first
           heat (representatives from each State must be in separate heats) after sheep are penned.
      b)  State Team Manager or nominated representative to nominate woolhandler to compete in first
           heat.
      c)  The same process be followed for each heat
National Final - Woolhandlers  draw stand after sheep are penned.

Draw for International Shearing Test 
Immediately before Test,( i.e. after sheep penned), Major Sponsor Rep toss coin. Visiting Team Manager to call. Toss is for choice of odd and even stands. Managers then allocate shearers to stands.

Draw for International Woolhandling Test
Immediately before Test,( i.e. after sheep penned), Major Sponsor Rep toss coin. Visiting Team Manager to call. Toss is for choice of odd and even stands. Managers then allocate woolhandlers to stands.

Australian Team Uniform
      - Team Member blazers - Australian green with coat of arms
      - Manager's blazer - Navy with coat of arms
      - Judge's blazer - Navy with SSAA Logo (map green) and the word 'Judge' in red inside map,
        other writing gold
All Logos to be on left side

Uniform Liaison - Ben Moodie (Computer discs already available)
      - proforma for uniform measurements (to be filled out at Nationals)
      - proforma for personal profiles (to be filled out at Nationals)
      - trousers, skirts, shirts and ties/scarves should match

Singlets Liaison - Bernie Walker (Screens already available)
      - National Final - singlets x 10 or 12 (2 of each in State colours)
      - Trans Tasman - singlets x 6 (dark green, gold print) 3 to use in Aust, 3 to use in NZ
      - World Championship - singlets x 4 (gold, green print)

Polo Shirts (For Woolhandlers) Liasion - 
      - National Final - polo shirts x 10 or 12 (2 of each in State colours)
      - Trans Tasman - polo shirts x 4 (gold, green print)  2 to use in Aust, 2 to use in NZ
      - World Championship - polo shirts x 2 (gold, green print) 

PRESENTATION FORMAT:
1.  Appoint a marshal to gather relevant people 5 minutes before presentations (inform them that they 
     will be required to have photos taken following the results)
2.  Introduce the person making the presentations whilst assembling competitors
3.  Trans Tasman Tests
            a)  Introduce team manager and individual team members onto stage
            b)  Have both teams (Australia and NZ) on stage with managers
            c)  Announce results
            d)  Have team managers respond
            e)  Assemble for photographs - preferably off to the side so that presentations can continue
4.  National Championships
            a) Competitors from 7th to 12th to be presented first by National Chairman or his nominee
            b) Competitors from 6th to 1st to be called on to stage, then presented from 6th to 1st by
                National Chairman or his nominee.
            c) Winner respond.
            d) Assemble for photographs - preferably off to the side so that presentations can continue.

COMPETITOR PROFILES:
Name, address, marital status, kids, occupation, history, competition and other achievements 

MANAGERS JUDGES:
SSAA appoint Managers and Judges to NZ for Trans Tasman Tests in consultation with ESA and Team Members.
Euroa Shearing Association appoint Managers and Judges to World Championships in consultation with SSAA and Team Members

TEAM MEMBERS RESPONSIBILITIES:
1.  To agree to abide by the rules and protocols of SSAA (see Shearing Rule 2a)
2.  Check Passport is valid.
3.  To send measurements to the National committee (Ben Moodie) for Blazer size immediately
      after the Nationals (including Hat size).
4.  To send a profile of themselves, including passport photo, to the National committee immediately 
     after the Nationals.
5.  To write to their sponsors thanking them for the opportunity they have been given.
6.  To correspond with the other Team members and Manager in regard to Blazer, shirt, and trouser
     colours
7.  To correspond with the other Team members and Manager in regard to flights, work and travel
     arrangements
8.  To conduct themselves as worthy ambassadors of Australia, good sportspersons and not
     embarrass or bring disrepute to Australia or the Team through their behaviour
9.  To wear approved sponsors clothing during their travel and training as the Australian Team
10.To be present at all functions and events the National committee or host committees require them to
      attend.
11. Prepare speeches with thanks to all sponsors and host committees etc. for when it is needed
12. After representing Australia write to the sponsors in conjunction with the Manager to thank them
13. Send photos, press releases and results to National Committee, Host committee and sponsors
14.  To agree that, if the Manager requires a Team member/s replaced at any time due to improper    
      conduct, behaviour, condition, legal or illegal, or medical reasons, and SSAA executive 
      agree, the member/s will not represent Australia, and will stand down.
      The Team member/s will be replaced by the person/s  the Manager and SSAA executive choose

MANAGER'S RESPONSIBILITIES: Top of Page
1.   Check that all the above is done as well as:-
2.   Organise competition clothing and work clothing for Team
3.   Ensure members have correct vaccinations etc. if travelling overseas
4.   Check Team Members have valid passports
5.   Check visas if necessary
6.   Check gear for quarantine at customs
7.   Organise Carnet if necessary
8.   Check with airline in regard to overweight due to shearing gear being heavy
9.   Organise the type of shearing gear needed for shearers and brooms for woolhandlers
10. Acquire rules for competition
11. Enter team in events at competition/s when necessary
12. Organise accommodation for team
13. Organise transport for team
14. Organise practice/work for Team
15. Correspond with National and/or host committee in regards to functions where the Team
      is expected to be present
16. Prepare speeches for functions, presentations and host committees
17. Prepare information for meetings if acting as a delegate
18. Acquire Australian Flag for display by host committee if required
19. Provide a tape of Australian National Anthem for host committee if required.
20. Acquire Akubra Hats for each Team member
21. Organise camera and video for Team pictures and press releases
22. Acquire Australian mementos and badges for the host committee members or helpers
23. Provide a contact phone number (mobile) for anyone wishing to contact the Team
24. Acquire copies of results of competitions for national committee/sponsors
25. Acquire program of events for national committee/sponsors
26. Plan the time from departure to return
27. Prepare Team members for the event, to bring out their best
28. Prepare team members equipment for the event
29. Capitalise on each members strong points and work on their weaknesses
30. Plan the strategy needed to bring out the best performance
31. Have backup plans, they may be needed
32. Know the rules inside out, compete to the rules
33. If there are loopholes, use them to the teams advantage
34. Know the opposition, find out their weak points and use this to the teams advantage
35. Have a break from the seriousness if possible, prior to competing, then recharge
36. Contact the SSAA committee members with updates on the team 
37. Forward results as soon as possible after the events
38. Contact team members family/partners to boost morale
39. After events prepare press releases and sponsors letters with photos, results etc.
40. After return, provide report, including recommendations for future teams, to National Committee.
41. Write thankyou letters to host committees and helpers.
42. Carry trophies back, and have a rest. (Before completing 40).

VARIATIONS:
Application to vary a Protocol, which is NOT a SSAA general shearing rule, must be made to the SSAA national committee for consideration and approval. 
Application to vary a Protocol which is ALSO a SSAA General Shearing Rules, must
be made in the form of a motion for discussion and decision at a SSAA General Meeting.
Approval must be granted before any Protocol is changed.
